A slight difference in the manner of saving files in a PowerPoint environment determines whether a file would have a ppt or pps extension. Clicking the “Microsoft Office” button, “Save As” button, scrolling and choosing “PowerPoint presentation” produces ppt files. Clicking the “Microsoft Office” button, “Save As” button, scrolling and choosing “PowerPoint show” produces pps files.
Say, for example, there are two files named briefing.pps and briefing2.ppt. The period pps (.pps) and period ppt (.ppt) extension means that they are presentation files saved using the 2003 or older version of PowerPoint. The newer versions, starting with the 2007 release, have pptx or ppsx extensions.
PowerPoint is a program used for presentation purposes created by PhD students Bob Gaskins and Dennis Austin in 1984. Having found the magnanimous potential of the program, Microsoft Corporation acquired it in 1987. The introduction of the PowerPoint software phased out the customary use of transparency films and projectors when giving lectures or presentations.
The primary difference between the pps and ppt extensions are as follows:
First: When a period ppt (.ppt) file is clicked, it opens up the editing mode of the presentation program. When a period pps (.pps) file is clicked, the file automatically opens up to presentation proper.
Second: Fonts, colors, and font sizes can be altered easily in ppt files. Sound effects, transitions, and graphics can also be inserted. Since pps files don’t open up like the ppt mode, it can’t be edited easily. The only way to edit a pps file is by switching to the ppt mode first, then editing and saving it again to a pps version.
Third: The ppt files contain hidden data, such as, the author’s name and information, comments, annotations, invisible slides, and presentation notes. The pps files are cleaner and more formal as the hidden data were obviously removed prior to saving it to the pps version. The Prepare — Inspect Document — Review All — Remove All functions are very helpful in cleaning up ppt files.
Lastly, for lecturers and speakers, pps files are handy and more convenient than ppt files. It shortens by a few minutes the time for clicking and opening the slide show. Doing so in the normal ppt environment takes several steps and minutes.
